What is Shop Black Fest?

A platform dedicated to celebrating Black culture and supporting Black-owned businesses through vibrant, community-focused events and more.

Why Should I Join Shop Black Fest?

When are the upcoming events?

We host festival events once a month in Nashville, Memphis, Chicago, Atlanta, Birmingham and Huntsville.

What is the Vendor Fee?

Booth Fees

  • Basic: $150 per booth. This includes a 10x10 space with basic setup.
  • Standard Booth Fee: $200 per booth. This includes a 10x10 space with priority vendor booth area.
  • Premium Booth Fee: $375 per booth. Includes a 10x10 space with premium placement. Get featured on the main stage (demonstration, sales promotion, raffle, or contest giveaway). Receive a minimum of 5 dedicated shout-outs across our social media platforms leading up to the event. Promote your business with a personalized email blast sent to our entire subscriber base of engaged attendees.

Payment Plans

  • Full Payment: Pay the full booth fee upfront.
  • Installment Plan: Option to pay in 2 installments:
  • First Payment: 50% of the total fee due upon registration.
  • Second Payment: Remaining 50% due 10 days after 1st payment.

Deadlines

  • Early Bird Discount: Join our newsletter for early bird announcements and discounts. 2 months before the event is the deadline for Early Bird Price.
  • Final Payment Deadline: All payments must be completed 3 days before each event.

Available Discounts and Promotions

  • Referral Discount: Refer another vendor and receive a $15 discount on your booth fee. This will apply for next calendar year. Both you and the referred vendor will receive the discount.
  • Group Discount: Book 3 or more booths and receive a 15% discount on each booth. Email support@shopblackfest.com to receive discount.
  • Returning Vendor Discount: If you’ve participated in a previous Shop Black Fest event, enjoy a $20 discount off your booth fees.

Additional Information

  • Booth Size and Setup: Each booth is a 10x10 space. Additional space or special setup requests may incur extra charges.
  • Included Amenities:
  • Outdoor events are for 10 x 10 booth space only. It does not include tables, chairs or electricity. Please bring your own tent. Additional amenities are available for an extra fee.
  • Indoor Events include a table and 2 chairs.

Vendor Set-Up and Logistics FAQ

Event Logistics Page Access

  • After registration, you will receive access to the event logistics page.
  • This page includes maps, check-in instructions, parking arrangements, and other essential details.

Set-Up Instructions

Set-Up Time and Location

  • Event Location: Various locations (details provided per event).
  • Vendor Set-Up Time: 11:00 AM - 1:00 PM.
  • Food Vendors/Food Trucks Set-Up Time: 10:30 AM - 11:30 AM. Must arrive before 12:00 PM.
  • Check-In Location: At the entrance (specifics provided per event, usually near the main stage or SBF booth).

Check-In Process

  • Check-In Time: 11:00 AM - 1:00 PM.
  • Check-In Location: At the Shop Black Fest booth (directions and map provided on the logistics page).
  • Instructions: your car and walk to the check-in area (rolling carts recommended). Volunteers will be available to assist with transporting items to your booth (as available per event). You will be directed to your pre-assigned booth space upon check-in.

Set-Up Rules

  • Arrival Deadline: If you are not set up by 1:30 PM, you will forfeit your booth space.
  • Early Departure: No early set-up or departure allowed. Leaving early will incur a $50 fine.

What to Bring/What's Included

Vendor Space

  • Booth Size: 10' x 10'.
  • Items to Bring: Table and Tent (required), Chairs, Tablecloth, Tent weights (required due to strong winds; tents may be on concrete), Generator (if you need power)
  • Items Provided by Shop Black Fest: None (all vendors must bring their own setup equipment).

Parking and Unloading

Parking Arrangements

  • Parking Location: Far end of the parking lot (as shown in the event diagram, free parking available).
  • Unloading Instructions: Unload your items at the designated unloading zone. After unloading, park your vehicle in the specified parking area.

Volunteers Assistance

  • Volunteers will be on-site to help transport items to your booth space.
  • Check in at the Shop Black Fest booth upon arrival for assistance.

During the Event

Expected Attendance

  • We anticipate 500 to 1,000 attendees per event.

Post-Event Instructions

  • Breakdown Time: Detailed instructions will be provided closer to the event date.
  • Clean-Up: Vendors are responsible for cleaning their booth space before departure. There will be a fine of $75 if space is not cleaned after event.

How to Sign Up and Pay for a Vendor Spot

How Do I Register for an Event?

Step-by-Step Instructions

  • Visit Our Eventeny Page Go to our Eventeny page for Shop Black Fest.
  • Create or Log In to Your Eventeny Account If you don’t have an account, you’ll need to create one. If you already have an account, simply log in.
  • Fill Out the Application Complete the vendor application form with all necessary details about your business and the products you plan to sell.
  • Submit Your Application Once you’ve filled out the application, submit it for review.
  • Make Payment Follow the instructions on the application to make your payment. You can choose to pay in full or select a payment plan if available.
  • Wait for Approval Your application will be reviewed, and you’ll receive an email confirmation of your approval status within 3-5 days.
  • Confirmation Email After payment, you’ll receive a confirmation email with your booth details and any further instructions.
  • Prepare for the Event Review our vendor prep checklist, FAQs, and other resources to ensure you’re ready for the event.

What is the Cancellation Policy?

Cancellation Terms

Stuff happens! We know. Unfornately we do not offer refunds.

However, vendors are allowed to change dates 1 time every 365 days.

Cancellations made 30 days before the event will receive the opportunity to change dates for a $75 processing fee.

No refunds will be issued for cancellations.

Can I Share a Booth with Another Vendor?

No, you can not share a booth with another vendor.

How Can I Promote My Participation?

  • Leverage Social Media Post regularly about your participation. Use event hashtag: #ShopBlackFest. Share behind-the-scenes content and product previews.
  • Email Marketing Send emails to your subscriber list announcing your participation. Include details about your booth location and special offers.
  • Local Press Reach out to local newspapers, blogs, and radio stations. Share press releases and media kits.
